Mentor A Promise, Inc. ("Mentor A Promise," "MAP," "we," "our," or "us") uses photographs, video, audio, written stories, and creative works to share our mission and celebrate the impact of our programs. This policy explains how media may be collected, used, and how individuals may request removal.

1Purpose of Media Use

Media helps Mentor A Promise:

  • Share program impact with donors and partners
  • Promote educational and mentoring programs
  • Celebrate student and community achievements
  • Support fundraising and outreach efforts
  • Document organizational history and milestones

2Types of Media Covered

This policy applies to:

  • Photographs
  • Video recordings
  • Audio recordings
  • Testimonials and written stories
  • Artwork and creative work
  • Social media content
  • Event and program documentation

Media may be captured during:

  • Programs and workshops
  • Volunteer activities
  • Community and fundraising events
  • Virtual sessions and webinars

3Consent and Protection of Minors

Because Mentor A Promise serves children and youth, we take additional safeguards.

For minors (under 18):

  • We obtain parent or legal guardian consent before using identifiable photos, video, audio, or stories of a child.

Consent may be collected through:

  • Enrollment forms
  • Program registration
  • Media release forms
  • Written parent/guardian permission
We do not knowingly publish identifiable media of minors without appropriate consent.

4How Media May Be Used

Approved media may be used in:

Media may be edited for clarity or formatting but will not be used in a misleading or harmful way.

5Virtual Programs and Recording Notice

Participation in virtual sessions or events may involve recordings or screenshots for educational, training, or promotional purposes.

Notice will be provided whenever recording is planned.

6Respectful Representation

We are committed to portraying individuals and communities respectfully and responsibly.

We avoid media that:

  • Exploits or stigmatizes individuals
  • Reveals sensitive personal information
  • Misrepresents participants or programs

7Opt-Out and Removal Requests

Individuals or parents/guardians may request:

  • Not to be photographed or recorded
  • Removal of existing media
  • Limitation of future use
